Privacy Policy

This policy explains what information Ultra Home Base collects, why we collect it, and the choices you have. It is written to be read, not skimmed past.

We collect as little as we can, use it only to run our business and serve you better, and never sell it. That is the whole policy in one sentence — the detail is below.

Who we are

Ultra Home Base is a home renovation and home services company operating in Philadelphia, Pennsylvania. In this policy, "we", "us" and "our" refer to Ultra Home Base. We are the data controller for the information described here, which means we are responsible for how it is handled.

You can reach us at contact@ultrahomebase.com or by writing to our address on the contact page.

Information we collect

We collect information in three ways: what you give us, what we observe when we visit your property, and what our website records automatically.

  • Information you give us. Your name, email address, phone number, property address, the details of the project you are describing, and any photographs or plans you choose to send. If you subscribe to our newsletter, we also hold your email address and the topics you selected.
  • Information from a survey or visit. Notes, measurements and photographs taken during a consultation, which we keep on file so we can quote accurately and, later, maintain what we built.
  • Information collected automatically. Standard website data such as the pages you viewed, the type of device and browser you used, and the approximate region you were browsing from. This is aggregated and does not identify you personally.

How we use your information

  • To respond to your enquiry and prepare a quote or a scope of works.
  • To plan, schedule and carry out work at your property, and to keep records of what was installed.
  • To honour guarantees and warranties, and to provide aftercare if something needs attention.
  • To send you the newsletter you asked for, and to honour unsubscribe requests immediately.
  • To meet legal, tax and insurance obligations that apply to a contractor working in Pennsylvania.
  • To improve our website and understand which guidance people find useful.

We do not use your information for automated decision-making, and we do not profile you.

Depending on the situation, we rely on one of the following: your consent (for example, when you subscribe to our newsletter); the performance of a contract (when we are carrying out work for you); our legitimate interests in running and improving a home services business; and our legal obligations to keep records and meet tax and insurance requirements.

Who we share it with

We never sell your personal information. We share it only when it is necessary:

  • Trades and suppliers. The vetted tradespeople and suppliers working on your project receive only the details they need to do their part of the job.
  • Service providers. Companies that host our website, handle our email, process payments or store files for us. They act on our instructions and are bound by contract.
  • Professional advisers and insurers. Where needed to support a warranty claim, a legal matter or an insurance requirement.
  • Authorities. Where we are required to do so by law, or where it is necessary to protect someone's safety.

How long we keep it

We keep enquiry records only as long as they are useful to you and to us. Records relating to completed work are kept for the period needed to honour guarantees and to meet tax, insurance and legal obligations. Newsletter details are kept until you unsubscribe; when you do, we retain only the minimum needed to make sure we do not email you again.

How we protect it

We use encrypted connections, password-protected systems, restricted access and reputable service providers to keep your information safe. No online service can promise perfect security, but we take it seriously and we review our practices regularly. If a breach ever affected your information, we would notify you and the relevant authorities as required by law.

Cookies and analytics

Our website uses a small number of cookies — tiny text files stored by your browser — to remember your preferences and to understand aggregate traffic. You can block or delete cookies in your browser settings; the site will continue to work, though some conveniences may be lost. We do not use advertising cookies or sell data to advertisers.

Your rights

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct anything that is inaccurate.
  • Ask us to delete your information, subject to records we are legally required to keep.
  • Object to, or ask us to restrict, certain uses of your information.
  • Withdraw consent at any time — for the newsletter, that means unsubscribing, which takes effect immediately.

To exercise any of these rights, email contact@ultrahomebase.com. We will respond within the period required by applicable law and we will not charge you for it.

Children's privacy

Our services are aimed at homeowners and adults. We do not knowingly collect personal information from children, and if we learn that we have, we delete it.

Changes to this policy

If we change this policy, we will update this page and adjust the wording above. Where a change is significant, we will tell newsletter subscribers directly. Continuing to use the site after a change means you accept the updated policy.
